Receptionist/Administrative Assistant- Part Time

The ideal candidate has a positive, team building attitude that resonates with the entire office. He/she takes initiative to complete tasks that will keep the office running efficiently, appears to effortlessly juggle multiple requests, and is unflappable whether things are calm or bustling. This person is the face of the office for clients and guests, a behind the scenes problem solver, team motivator, and go-to resource for office and some IT needs.

Main responsibilities:

  • Maintain a presence at receptionist desk, answer phone calls, sign for packages, and provide a welcoming environment for all guests, clients and employees.
  • Jump start the day for the staff by ensuring that office common areas are organized and tidy, supplies are well-stocked, and coffee is always in fresh supply.
  • Make meetings and office gatherings memorable by organizing refreshments and catering needs. Coordinate with teams to ensure that conference rooms are properly booked, equipped, and set up for internal and client meetings.
  • Keep the office running smoothly by ensuring that office supplies, snacks, and soda are always in supply and neatly organized.
  • Plan and execute fun and sometimes spontaneous events and activities for the office to keep office culture alive and fresh.
  • Assist IT team with troubleshooting office and employee technology issues.


Key Qualifications:

  • Bachelor’s degree.
  • Preferred 3-5 years of administrative work experience, ideally in a creative office environment.
  • Welcoming and energetic personality.
  • Strong attention to detail.
  • Awareness to tasks that need attention whether assigned or not.
  • Willingness to tackle any assignment no matter how big or small (new business help to stocking the fuel bar for the team).
  • Excellent computer skills; proficient in Outlook and other Microsoft programs.
